This migration in the healthcare industry is driven by the need to move Electronic Health Records (EHRs). Specifically, this system stores and manages all the information about a patient in a single and secure location. Migrating data to more advanced storage with restricted access and analytical features is one stage of EHR implementation. - [Four Reasons to Upgrade Legacy EHR](https://www.accesscorp.com/four-reasons-to-upgrade-legacy-ehr/) - [Critical Factors to Consider When Selecting a Data Archival Solution for Medical Records](https://www.accesscorp.com/critical-factors-to-consider-when-selecting-a-data-archival-solution-for-medical-records/) - [Maintaining Data Integrity with Medical Data Archiving](https://www.accesscorp.com/maintaining-data-integrity-with-medical-data-archiving/): Data integrity refers to the completeness, consistency, and accuracy of data. If your organization has a specific reason to digitize, such as preparing for a legal matter, the starting point may be clear. But broader goals, like moving toward a paper-light or paperless environment, can make it harder to determine where to begin. - [Is Your Data Ready for AI? How to Future-Proof Your Archives](https://www.accesscorp.com/blog/is-your-data-ready-for-ai-how-to-future-proof-your-archives/): Make your data easy for both humans and machines to interpret. - [What to Migrate, Archive, and Retire in Healthcare Mergers & Acquisitions](https://www.accesscorp.com/blog/data-archival-strategies-for-healthcare-mergers-and-acquisitions/): Every step of smart data archival happens under regulatory scrutiny. Protected health information must remain secure throughout the process, making rushed migration timelines risky. - [Beyond File Names: Making Geological Records Searchable](https://www.accesscorp.com/blog/beyond-file-names-making-geological-records-searchable/): When employees spend extra time tracking down geological records, that inefficiency can add up across an organization, especially when information spans decades, physical and digital formats, and highly specialized data such as well logs, seismic records, core samples, maps, and geological reports. Finding the right record often requires more than a file name or folder path. It requires understanding the asset, location, geological context, source details, and even where the original record is stored. - [Records Archiving in Regulated Industries: 6 Best Practices You Can’t Ignore](https://www.accesscorp.com/blog/records-archiving-in-regulated-industries-6-best-practices-you-cant-ignore/): Many companies still treat archiving as a static, end-of-life task. But in reality, records archiving is an active, ongoing process that must balance accessibility, compliance, and risk mitigation at every stage. Here are six best practices to build a modern, compliant, and efficient archiving strategy that keeps operations running smoothly while meeting regulatory obligations. - [Access Legal & IG Quarterly Update – Q3 2026](https://www.accesscorp.com/blog/access-legal-ig-quarterly-update-q3-2026/): This quarter’s legal and information governance developments share an unexpected theme: Laws requiring data deletion are also requiring organizations to create and retain proof that the deletion occurred. California’s data broker platform is the clearest example, with Connecticut, New Jersey, and Chile following similar patterns. This update covers those, along with Illinois’s AI audit requirement, the EU’s revised AI Act timetable, South Korea’s order to destroy an AI model, and Chile’s new privacy law taking effect December 1. - [Top Five EHR Data Migration Challenges](https://www.accesscorp.com/blog/top-five-ehr-data-migration-challenges/): Access supports both EHR data migration and archiving. Working with your team, we analyze, extract, convert, validate, and securely migrate active data while preserving historical information in Access Unify | Health, our archival digital records management solution. - [Don’t Skip Ahead: Why Information Readiness Comes Before AI](https://www.accesscorp.com/blog/dont-skip-ahead-why-information-readiness-comes-before-ai/): AI does not eliminate those issues. It can make them more visible and potentially extend their impact across the organization. Information readiness gives organizations a way to address those conditions before they scale AI. - [How Much Does Backfile Conversion Cost And Why?](https://www.accesscorp.com/blog/how-much-does-backfile-conversion-cost-and-why/): Backfile conversion quotes can vary by a factor of five or more for what looks like the same project. That spread isn't vendor inconsistency. It reflects a stack of real cost drivers that most initial estimates don't surface.  - [Electronic vs. Physical Records Management Software: Do You Need Both?](https://www.accesscorp.com/blog/electronic-vs-physical-records-management-software-do-you-need-both/): Key Takeaways  - [What Does EMR Data Archiving Cost?](https://www.accesscorp.com/blog/what-does-emr-data-archiving-cost/): Legacy EHR licensing invoices have a way of arriving long after a system stopped being the system of record. A platform your organization replaced two years ago may still be running, and billing, because the patient data inside it hasn't moved anywhere.  - [Beyond Storage: Making Well Files and Seismic Data Searchable](https://www.accesscorp.com/blog/searchability-for-well-files-and-seismic-data/): For energy organizations managing decades of exploration and production information, better searchability means less time hunting for records and a clearer view of what’s available for the work ahead. - [How Healthcare IT Teams Can Prepare for Legacy EHR Decommissioning](https://www.accesscorp.com/blog/top-8-it-challenges-when-decommissioning-ehrs-how-to-avoid/): Legacy EHR decommissioning is successful when your team can prove that archived data is complete, searchable, secure, governed, and usable after the source application is retired. That requires more than migrating data and shutting off a server. - [Addressing Compliance Concerns with AI-Generated or AI-Assisted Records](https://www.accesscorp.com/blog/addressing-compliance-concerns-with-ai-generated-or-ai-assisted-records/): Bill Gates asserted that the recent surge in artificial intelligence (AI) represents the most significant technological advancement in over four decades. As we adjust to living in the new Age of AI, the need for clarity on how to handle AI-generated or AI-assisted records becomes more pressing. - [After EHR Cutover: How to Archive Data Without Keeping Legacy Systems Alive](https://www.accesscorp.com/blog/after-ehr-cutover-how-to-archive-data-without-keeping-legacy-systems-alive/): After an EHR cutover, the goal is simple: give authorized users the historical information they need without forcing them back into the legacy system. - [Surviving The Chaos: 3 Strategies to Stabilize Your RIM Program](https://www.accesscorp.com/blog/surviving-the-chaos-3-strategies-to-stabilize-your-rim-program/): It’s undeniable: We live in chaos driven by the ever-evolving legal, social, and technological landscapes. While these areas are constantly changing, they can rarely keep up with each other. Stabilizing your Record Information Management (RIM) program amid this whirlwind might sound about as easy as herding cats on roller skates. But fear not! Consider these three strategies to build a user-friendly RIM program that can withstand any storm. - [Records Management Software: A Buyer’s Guide](https://www.accesscorp.com/blog/records-management-software-a-buyers-guide/): Most records management software evaluations start with a feature checklist: search speed, storage capacity, interface design. That approach misses the point. For information governance, records, and compliance leaders, the real question is whether the software enforces the organization's retention obligations correctly, every time, across every record type and jurisdiction. A system that looks polished in a demo but mishandles disposition schedules or fails during a legal hold creates liability. Getting it wrong creates compliance exposure — regulatory fines, failed audits, sanctions in litigation. This guide covers what records management software needs to do, why the buying decision carries more risk than a typical software purchase, and which evaluation criteria separate a defensible system from a feature-rich one. - [What Is Backfile Conversion? Types, Day-Forward vs Backfile, And When To Outsource ](https://www.accesscorp.com/blog/what-is-backfile-conversion-types-day-forward-vs-backfile-and-when-to-outsource/): Backfile conversion addresses that gap by bringing historical records into a digitally governed environment. It is a distinct discipline from simply buying a scanner and processing today's mail, and the decisions made early — which records to convert first, in what sequence, and whether to handle the work in-house or outsource — shape how quickly compliance and operational benefits materialize.  - [OCR vs. Image-Only Scanning: How to Choose the Right Output for Your Records](https://www.accesscorp.com/blog/ocr-vs-image-only-scanning-how-to-choose-the-right-output-for-your-records/): Document scanning projects can produce different types of digital files depending on an organization’s goals. Image-only scanning captures each page as a digital image, while more advanced services add optical character recognition, document indexing, or both. - [Information governance best practices for hybrid paper and digital estates](https://www.accesscorp.com/blog/information-governance-best-practices-for-hybrid-paper-and-digital-estates/): Most information governance programs were built for one format at a time. A records team inherits a paper retention schedule shaped by decades of physical storage, then layers a separate digital policy on top as email, shared drives, and SaaS applications multiply. The two rarely agree on what to keep, for how long, or who owns the decision. That gap tends to surface at the worst moments — during a litigation hold, a regulatory audit, or a breach investigation — when you can't say with confidence what records exist across both formats. This article lays out how to unify governance across a hybrid paper-and-digital estate: where programs typically break down, how to structure ownership and retention around one system of record, and what to prioritize before automating anything. For organizations that haven't yet worked through the fundamentals, improving information governance starts with the same question this article answers for hybrid estates specifically: what is the single source of truth, and who is accountable for it. - [How to Build an Enterprise Scanning Strategy That Stands the Test of Time](https://www.accesscorp.com/blog/how-to-build-an-enterprise-scanning-strategy-that-stands-the-test-of-time/): Hybrid work is now part of normal operations, and paper-based processes struggle in distributed environments. A mature enterprise scanning program supports remote and multi-location teams by making authorized records easier to retrieve and reducing delays caused by manual handoffs. - [From Policy to Proof: Building Audit-Ready Healthcare Information Governance](https://www.accesscorp.com/blog/from-policy-to-proof-building-audit-ready-healthcare-information-governance/): Together, they improve visibility across legacy digital data, physical records, and the governance rules applied to both. See how Access Unify supports healthcare information governance across legacy data, physical records, and retention management. - [Five Information Security Practices That Reduce Organizational Risk](https://www.accesscorp.com/blog/five-information-security-practices/): Risk is part of doing business; the question isn’t whether your organization will face it, but how prepared you’ll be when it does. A proper risk mitigation strategy reduces the likelihood of disruptions, limiting their impact and helping your organization recover quickly when something goes wrong. - [The Right Place for Every Healthcare Record: Onsite, Offsite, or Digital](https://www.accesscorp.com/blog/the-right-place-for-every-healthcare-record-onsite-offsite-or-digital/): Healthcare records do not all belong in the same place. Active patient files may need the speed and visibility of open shelf medical filing systems. Inactive paper records may be better suited for offsite storage, and frequently requested files may be worth digitizing. Historical data from retired systems still needs to remain accessible, searchable, and governed. - [Smart Business Strategies: 4 Reasons to Store Your Files in Secure Offsite Storage](https://www.accesscorp.com/blog/4-reasons-to-store-your-files-in-secure-offsite-storage/): Instead, partner with a records and information management (RIM) provider that will store your physical records in a secure offsite storage facility. You'll have confidence that your information is protected while gaining better visibility into what you have, where it's located, and when it's eligible for destruction. That makes it easier to retrieve records when you need them, stay on top of retention requirements, free up valuable office space, and spend less time managing boxes and more time focused on higher-value work. - [Climate-Controlled Document Storage: What To Look For ](https://www.accesscorp.com/blog/climate-controlled-document-storage-what-to-look-for/): Physical records remain a compliance reality for most organizations, and the stakes of getting storage conditions wrong are higher than they appear. Paper, film, and magnetic media degrade faster than most records managers expect when storage conditions drift even slightly.  - [How to Retire Legacy EHR Systems Without Losing Access to Historical Data](https://www.accesscorp.com/blog/how-to-retire-legacy-ehr-systems-without-losing-access-to-historical-data/): When an organization keeps a legacy EHR available after cutover, the decision often starts as a practical accommodation. Teams are still adjusting to the new environment, historical records remain useful, and the old application feels like the safest place to answer questions that were not fully resolved during implementation. - [What Comes After the Retention Schedule? 9 FAQs for a Successful Rollout](https://www.accesscorp.com/blog/what-comes-after-the-retention-schedule-9-faqs-for-a-successful-rollout/): Creating a records retention schedule is a critical first step—but it’s only the beginning. The real challenge lies in putting that schedule into practice across your organization. From gaining stakeholder buy-in to managing exceptions and ensuring long-term compliance, a successful rollout requires more than just a well-documented policy. - [How to Create Workflow-Supporting Metadata Standards](https://www.accesscorp.com/blog/how-to-create-workflow-supporting-metadata-standards/): It’s clear that a more consistent, detailed way of labeling that file could have prevented the entire scramble. That’s why having metadata standards that work with your organization’s operational structure are so important. - [Capitalizing on Cost Efficiencies: Where Healthcare Organizations Should Look First](https://www.accesscorp.com/blog/capitalizing-on-cost-efficiencies-where-healthcare-organizations-should-look-first/): When looking for cost efficiencies, the best place to start is often not with the most visible budget line. It’s the systems, data, and workflows that continue to consume resources long after their original purpose has changed. - [Backfile Conversion Services: How To Digitize Your Paper Archive](https://www.accesscorp.com/blog/backfile-conversion-services-how-to-digitize-your-paper-archive/): The process is where Access's backfile conversion services differ from a low-cost scanning vendor or an in-house digitization attempt. Every phase is documented, every handoff is tracked, and the engagement is designed so your team's involvement is limited to the decisions that require your input.  - [Sun, Sand, and Secure Data: Best Practices for RIM During Vacation Season](https://www.accesscorp.com/blog/sun-sand-and-secure-data-best-practices-for-rim-during-vacation-season/): Summer vacation may be on the calendar, but for records and information managers, there’s no room for a lapse in compliance. As employees sign off for PTO and remote access increases, the risk of a records management breakdown also rises. - [Information Governance Services vs Records Management: How To Choose](https://www.accesscorp.com/blog/information-governance-services-vs-records-management-how-to-choose/): Information governance services typically include records management as a component — the operational records layer sits inside the broader governance framework, not alongside it. Vendors that market information governance services without a working records management capability underneath are generally offering a policy framework without the operational depth to execute it.  - [Access Legal & IG Quarterly Update – Q2 2026](https://www.accesscorp.com/blog/access-legal-ig-quarterly-update-q2-2026/): Several recent developments are shaping the landscape of privacy, AI, and employment law. This quarter’s legal and information governance update examines new U.S. consumer privacy laws in Alabama, Louisiana, and Oklahoma; a recent change in Colorado’s revised AI law; EU AI Act implementation guidance and member-state enforcement scope; and California employment laws affecting human resource recordkeeping. - [Data Purging and Secure Disposal in Healthcare: What Happens After Retention Ends](https://www.accesscorp.com/blog/data-purging-and-secure-disposal-in-healthcare-what-happens-after-retention-ends/): Healthcare organizations spend a lot of time thinking about how records are created, stored, protected, and retrieved. Less attention often goes to the last stage of the information lifecycle: what happens when data no longer needs to be kept. - [The Hidden Cost of Document Storage Sprawl](https://www.accesscorp.com/blog/the-hidden-cost-of-document-storage-sprawl/): That’s when document storage sprawl turns into real work. Your team becomes burdened with the task of sorting through duplicate copies, outdated folders, disconnected systems, and records that may or may not still have business, legal, or compliance value. - [Hurricane Helene’s Lesson on “Information Voids”](https://www.accesscorp.com/blog/hurricane-helenes-lesson-on-information-voids/): However, researchers evaluating the hurricane’s disaster response found disruptions in the quality, source, quantity, and channel of data—referred to as “information voids.” These communication gaps severely hindered public access to emergency resources and allowed harmful rumors to circulate among displaced populations. - [From Forecast to Recovery: An Information Governance Checklist for Hurricane Season](https://www.accesscorp.com/blog/from-forecast-to-recovery-an-information-governance-checklist-for-hurricane-season/): Physical records deserve close review before hurricane season. Files stored in low-lying offices, overcrowded storage rooms, or unsecured facilities face greater risk of flooding and storm damage. - [Survival Strategies for the One-Person HIM Department](https://www.accesscorp.com/blog/survival-strategies-for-the-one-person-him-department/): Many healthcare information management (HIM) departments are expected to manage growing volumes of patient information with limited staff and increasing compliance pressure. For rural hospitals, specialty practices, behavioral health facilities, and small clinics, that responsibility likely falls entirely on a single HIM professional. - [Flying Solo: Survival Strategies for the One-Person Records Management Department](https://www.accesscorp.com/blog/flying-solo-survival-strategies-for-the-one-person-records-management-department/): Seasoned records management professionals who've walked this path have invaluable guidance that can transform your solo journey from survival mode to strategic success. Read on for their advice. - [The Hidden Retention Risks Inside Healthcare’s Legacy Systems](https://www.accesscorp.com/blog/the-hidden-retention-risks-inside-healthcares-legacy-systems/): For many healthcare organizations, the move to a new EHR feels like the finish line. Contracts are ending. Implementation timelines are locked. Teams are focused on go-live, training, data migration, and daily operational continuity. - [Indefinitely Maybe: The Case Against “Indefinite” Retention](https://www.accesscorp.com/blog/indefinitely-maybe-the-case-against-indefinite-retention/): I’m about to say something that might ruffle a few feathers. Ready? Deep breath. Here we go: We’re overusing indefinite retention periods in our retention schedules. - [The Current State of AI in Intelligent Information Management](https://www.accesscorp.com/blog/the-state-of-ai-in-information-management/): Artificial intelligence is starting to help organizations better organize, retrieve, and manage information across formats and locations. Its use continues to grow, with McKinsey reporting that 88 percent of organizations now use AI in at least one business function. - [How to Put Metadata into Practice: Practical Advice for Healthcare Teams](https://www.accesscorp.com/blog/how-to-put-healthcare-metadata-into-practice-practical-advice/): Metadata allows healthcare organizations to move from buried patient records and disconnected systems to searchable information, standardized workflows, and defensible compliance. Yet for many of these teams, healthcare metadata can feel technical, complex, and difficult to operationalize. - [Metadata in Practice: Lessons from the St. Louis Zoo](https://www.accesscorp.com/blog/metadata-in-practice-lessons-from-the-st-louis-zoo/): Metadata allows organizations to move from buried folder details to automated indexing, from one-person gatekeeping to role-based access, and from reactive cleanup to more defensible control. - [Restoring Control in a Distributed Records Environment](https://www.accesscorp.com/blog/controlling-records-distributed-work-environments/): A clean records environment is everything. As teams spread across departments, locations, and time zones in distributed work environments, records tend to follow, ending up on shared drives, cloud platforms, personal folders, and collaboration tools. What may have started as a relatively contained system gradually becomes more distributed, shaped by where and how people work. Add growth and mobility into the mix, and things can start to feel less predictable. - [Use, Secure, Organize, Delete: A Spring-Cleaning Framework for RIM](https://www.accesscorp.com/blog/securely-organize-your-records-spring-cleaning-for-rim/): Spring is a season of renewal, making it a natural time for organizations to revisit how records are securely organized, stored, accessed, governed, and disposed of. For information stewards, spring cleaning is a chance to reduce records disorder, improve retrieval, and strengthen control. - [Collaborating Across Departments: Bridging Gaps in Records Management for Healthcare Organizations](https://www.accesscorp.com/blog/collaborating-across-departments-bridging-gaps-in-records-management-for-healthcare-organizations/): Healthcare is experiencing a transformation similar to the digital revolutions seen across other industries. Technologies such as electronic health records (EHRs), artificial intelligence, connected medical devices, and telehealth platforms are reshaping how care is delivered, monitored, and managed. These innovations allow providers to coordinate care more effectively and deliver services beyond traditional clinical settings. - [Back To the Basics of Information Governance: Socks First, AI Second](https://www.accesscorp.com/blog/back-to-the-basics-of-information-governance-socks-first-ai-second/): But here’s the uncomfortable truth: If your information governance program has wrinkles, AI will turn them into blisters. - [Understanding the Benefits of Legacy Data Archiving](https://www.accesscorp.com/blog/understanding-the-benefits-of-legacy-data-archiving/): The healthcare industry, a rapidly evolving business, has amassed so many resources over the years—assets, technologies, systems, physical and virtual settings, etc.—that it now virtually overflows with old healthcare software. Equipment and systems launched 10–15 years ago now require proper care and maintenance, and legacy data archives (keeping patient histories, individual records, corporate data, etc.) need more dependable storage mechanisms.  ## Case Studies - [US Regional Bank Strengthens Records Retention Governance with Access Unify® | Lifecycle](https://www.accesscorp.com/case-studies/case-study-on-us-regional-bank/): As a result, they struggled to keep pace with evolving regulations and found themselves spending a lot of time discussing record retention governance requirements instead of enforcing the schedule and executing disposition processes. - [Dickinson Wright Modernizes Records Retention by Ditching the Spreadsheet-Based Schedule](https://www.accesscorp.com/case-studies/case-study-on-dickinson-wright/): Dickinson Wright had outgrown the process they used to maintain their records retention schedule. The firm’s retention policy included a lengthy Excel-based retention chart as an appendix, which the Records and Information Governance team updated manually once a year. - [Ashland Health Center Preserves Eight Years of Historical Data During System Upgrade](https://www.accesscorp.com/case-studies/case-study-on-ashland-health-system/): When Ashland Health Center (AHC) prepared to upgrade its core healthcare information system, the move involved more than replacing one system with another. An indeterminate shift to remote work. Challenges with accessing and sharing information safely and securely. 2020 has exposed many challenges with managing information in a work from anywhere environment. This short video will provide a paradigm to view this shift and start to explore a path forward. Video Transcript Over the last five plus months, what we've observed in the market is, you know, a true inflection point and change for our clients. That inflection point and change occurred abruptly, and it forced organizations to move or pivot directly to a disparate workforce model. And that posed challenges, right? And in the beginning, it exposed some issues with their information management program. It posed challenges to their day-to-day business and how they are providing team members with the information that they need to run their business. It also exposed some risks in their program. So over the last five months, every organization that we work with and work closely with has been trying to grapple with those questions, right, based off this change, based off this abrupt change. So as organizations now, as we move into the second half or late 2020, they're starting to look at a return to work potentially and how they do that, right? Is it a full return to work where everybody's just going to report to the office and they're going to go back to the way it was? Or is it a partial return where they have only segments of their staff returning to the office? Or is it a complete work-from-home model? So I think as we work with different organizations, different clients across a variety of different verticals, all of them are grappling with that issue and how that impacts their ability to access information, to deliver information, and maintain their consistency, right, and maintain the quality of their program. So a lot of the conversations we're having with clients are gravitating towards three primary categories. The first of which is organizations are struggling with quality in their program. How do I continue to deliver a high-quality product to my team while we're in a disparate model? The second thing is within a disparate model, if I'm delivering high quality, how do I ensure that I'm not incurring more risk, right? As team members are working from home or working in remote environments, how do I make sure that there is security and safety of that information and that record and that I'm not incrementally increasing risk? And then the third thing that the clients are coming to us now and asking for our consultation on or support with is, you know, we've seen significant financial impact, we have modified budgets, and our ability to spend money in certain areas has changed over the last five months. So help me drive down cost in my program. What new services can I utilize? What best practices would you recommend? So those are the three things that clients are coming to us for, is how do I maintain quality? How do I reduce risk while improving the quality of that program? And then lastly is, I can't incur more cost, so how do I run a more cost-effective program in this environment? - [Information Management in a ‘Work from Anywhere’ World: Digitization and Information Assessment](https://www.accesscorp.com/videos/video-6-digitization-assessment/): Digitization can help with accessibility, portability, and security.
